SESSION DESCRIPTIONS

Birds-of-a-Feather

Your session time is 45 minutes. BOAF facilitators may use their session time for presentations, discussions, etc. 

Coffee & Networking

This year’s conference theme is “Hi, How Are You?” and is intended to set a tone of informality and conversation, acknowledging that our guests will bring their whole selves (not just their professional personas) to the conference. With that in mind, the TCDL Swag & Networking committee has built three low-key networking events for our community. 

Each Coffee Networking session is scheduled for 90 minutes; attendees are free to come and go as they please. Grab your coffee and breakfast and drop it to say hello. 

  • Students & Newbies to TCDL | Tuesday, May 16, 2023 from 8:00 a.m. to 9:30 a.m. 
  • Black, Indigenous, and people of color (BIPOC) | Wednesday, May 17, 2023 from 8:00 a.m. to 9:30 a.m.
  • Lesbian, Gay, Bisexual, Transgender, Queer, Questioning, Intersex, Pansexual, Two-spirit, Asexual, and Ally (LGBTQIA+) | Thursday, May 18, 2023 from 8:00 a.m. to 9:30 a.m. 

Demonstrations

Your session time is 45 minutes. Demonstration presenters are welcome to use the full 45 minutes for presentation time but the TCDL planning committee encourages you to allow for at least 5 minutes of Q&A at the end of the session / demo.

Idea Labs

Your session time is 45 minutes. The goal of an Idea Lab session is to promote cross-institutional , cross-disciplinary collaboration. Attendees are presented with a question / problem to ponder. Creative brainstorming among attendees and presenters is highly encouraged. 

  • Presentation: Aim for no more than 20 minutes presentation time to allow for ample time for questions and collaborative discussion. 
  • Questions: Presenters, try to define clear questions (not “yes” or “no”) that will allow guests to understand the problem you face. 
  • Solutions: Plan ahead for collaboration using tools and technologies (such as whiteboards or Google docs) to capture ideas and stimulate discussion. 
  • Bonus: Develop a way to report back on your progress, connect with attendees and presenters after the session ends to keep the conversation going. 

Lightning Talks

Your presentation will be just under 7 minutes long, consisting of 20 slides with 20 seconds of commentary for each slide. Lightning talk sessions will showcase up to 4 presentations. 

Steps for setting Google Slides to advance every 20 seconds:

  1. Open the presentation in Google Slides.
  2. Click File. Hoover over Share and select Publish to the web.
  3. Choose Link.
  4. Under “Auto-advance slides,” choose 10 seconds to add between slides. (We will modify to 20 seconds in step 9.)
  5. Click start Slideshow as soon as the player loads.
  6. Click Publish.
  7. Get the Link from the box on this pop-up window. My test link looks like this: https://docs.google.com/presentation/d/e/2PACX-1vRyoO3ADefoGvJ-NI7jDPdKnDLKVoJ3GzA_Q3ngVV4oHzBnj0i7ky-q6o-hM115a0LUTvf_6fbiwkmz/pub?start=true&loop=false&delayms=10000. We are going to change that last number to 20000 so let’s do that in the step 9 together.
  8. Close this pop-up window with the X at the top.

  10. Now at TCDL launch your slide when ready to start with this modified link. It will advance every 20 second.

Meetings 

Your meeting time is based on the duration you requested. The TCDL planning committee accommodated all meeting requests. Your requested duration time is confirmed (45 minutes to 2 hours). Please note: Some meetings are closed to the public; closed meetings are indicated on the program. 

Opening Plenary and Keynote

Your session time is 90 minutes on Tuesday, May 16, 2023 from 1:30pm to 3:00 p.m. Speakers and moderators are invited. The Opening Plenary session schedule is as follows:

Panels

Your session will be 45 minutes long. You will have 30 – 40 minutes maximum for your panel presentation to allow for at least 5 minutes of Q&A at the end. 

Posters

You will present as part of the Poster Poco Loco session on Tuesday, May 16, 2023 from 3:15 p.m. to 3:30 p.m. Each poster presenter will be allotted up to three minutes to pitch your poster to the audience and at least 10 minutes for Q&A will be allotted at the end of the session. Presentations

Your session will be 45 minutes long. You will share your session with one other presentation. Each presentation has 20 minutes maximum to allow for at least 5 minutes of Q&A at the end. 

Swag sessions

Texas Digital Library and the TCDL Planning Committee are committed to environmentally conscious practices and conference actions that are meaningful. Instead of offering disposable swag items, attendees will have the option to attend one of three “experiential swag” sessions. 

  • Yoga | Wednesday & Thursday from 1:30 pm – 2:15 pm Central
  • Get Published | Wednesday fro 2:30 pm – 3:15 pm Central

The TCDL Swag & Networking subcommittee will support Swag session facilitators with technology and moderator needs.

TRACKS

TCDL’s conference tracks are categorical descriptions of presentation topics to help attendees find sessions best suited to their needs and interests. Each presentation and session at TCDL has been assigned a track as well as keywords to help attendees set their schedules.

SCHED & MODERATORS

SESSION INFORMATION: Check out the program and individual sessions in Sched. Sched will send you an email prompting you to update your profile, session description, add co-presenters, and upload your materials.

YOUR MODERATOR | Each session has a moderator who will contact you with a few questions and action items. Your moderator will be your point of contact for any questions, suggestions, or concerns before, during, and after the conference. They will help you with technology, open and close the session, moderate Q&As, and support your presentation anyway they can. Be on the lookout for an email from your moderator soon. 

SESSION FLOWS | Committee members have developed custom scripts and actions for each session. Please see the email from your session moderator for a link to your session flow.

BY MAY 15 | UPDATE & UPLOAD:

  • SLIDES: To ensure access to your presentation and to make your presentation as accessible as possible, we ask that you upload your slides to our shared folder in Google Drive. See the email from your moderator for a link to your folder.

REGISTER FOR TCDL: All attendees and presenters must register for TCDL. If you haven’t registered yet, please complete your registration at https://www.eventbrite.com/e/tcdl-2023-registration-532112572027 as soon as possible.

CREATE / UPDATE YOUR SCHED ACCOUNT: You should receive an email asking you to update your speaker profile in Sched. If not, please reach out to info@tdl.org

SPEAKER PREFERENCES

Pronunciations: Your moderators want to make sure they pronounce your name correctly. We recommend recording your name using Name Drop https://namedrop.io/ and adding a link to your session flow document.

Photographs: Many attendees like to take photos of slides during presentations, but we can inform attendees not to take photos during the session, if you prefer.

Technology needs: Do you have any technology needs during your presentation, other than presenting slides?
